The prime function of this activity is to prepare a monthly production / supply plan for 6 months on a rotating basis.

It is mandatory for all team members to attend the Production Planning Meeting – schedule for 6 months will be circulated in advance. In case of a real emergency when the member is unable to attend, he would be required to take specific permission from the Chairman and arrange a representative (duly briefed) to attend the meeting.

Some of the responsibilities & requirements from various members are as follows:

Chairperson: (Head of Supply Chain)

  1. Ensure meeting is held each month per schedule.
  2. Ensuring participation of the designated or alternative representative
  3. Co opting any additional representatives for a specific purpose
  4. Review last month’s minutes and check status of agreed actions
  5. Coordination between the Supply & Demand functions to clearly establish availability status of various products.
  6. Demand accountability from various members for any short comings or delays impacting delivery of promised products.


– Plant Manager :

  1. Preparation & circulation of agreed plan on the 1st working day each month
  2. Plan to meet demand, issues relating to man, machine & planning.

Material Planning & Logistics / Imports:

  1. Stock details of finished stock, raw materials & packaging material (cleared by QC)
  2. Stock details of finished stock, raw material & packaging material (under test)
  3. Details of local raw materials & packing material (on order)
  4. Any specific issues in material planning or stores impacting availability of materials for production


  1. Issue notice of meeting & circulation of minutes
  2. Details of Imported raw & packaging materials on order & delivery dates – suggest LC status format be used for this purpose
  3. Supplier related issues local / imports
  4. New Products – Production related materials
  5. Supplier Performance
 
– Marketing & Sales:

  1. Marketing requirements/Forecast for 6 months rotating for pharmaceuticals, vet, and exports groups – all required on a calendar basis. These should be in accordance with the attached procedure.
  2. Product priority – by exception
  3. Product / quality issues if any
  4. Coordination / communication within Marketing to establish the availability status of various products demanded.
  5. Sharing Marketing strategy with the team.
  6. Incorporating New Products in demand.

– Institutional Business:

  1. Specific requirements of institutional business
  2. Product priority – by exception
  3. Product / quality issues if any
  4. Coordination / communication to establish the availability status of various products demanded.
 
– Production, QC & Engineering:

  1. Capacity
  2. Manning
  3. Quality issues
  4. Engineering issues
  5. Regulatory

it is important that the notion that this is a figure crunching exercise only be cleared and the meetings be seen as coordinated effort to match the supply and demand aspirations.
