The prime function of this activity is to prepare a monthly production / supply plan for 6 months on a rotating basis.
It is mandatory for all team members to attend the Production Planning Meeting – schedule for 6 months will be circulated in advance. In case of a real emergency when the member is unable to attend, he would be required to take specific permission from the Chairman and arrange a representative (duly briefed) to attend the meeting.
Some of the responsibilities & requirements from various members are as follows:
Chairperson: (Head of Supply Chain)
- Ensure meeting is held each month per schedule.
- Ensuring participation of the designated or alternative representative
- Co opting any additional representatives for a specific purpose
- Review last month’s minutes and check status of agreed actions
- Coordination between the Supply & Demand functions to clearly establish availability status of various products.
- Demand accountability from various members for any short comings or delays impacting delivery of promised products.
– Plant Manager :
- Preparation & circulation of agreed plan on the 1st working day each month
- Plan to meet demand, issues relating to man, machine & planning.
– Material Planning & Logistics / Imports:
- Stock details of finished stock, raw materials & packaging material (cleared by QC)
- Stock details of finished stock, raw material & packaging material (under test)
- Details of local raw materials & packing material (on order)
- Any specific issues in material planning or stores impacting availability of materials for production
- Issue notice of meeting & circulation of minutes
- Details of Imported raw & packaging materials on order & delivery dates – suggest LC status format be used for this purpose
- Supplier related issues local / imports
- New Products – Production related materials
- Supplier Performance
– Marketing & Sales:
- Marketing requirements/Forecast for 6 months rotating for pharmaceuticals, vet, and exports groups – all required on a calendar basis. These should be in accordance with the attached procedure.
- Product priority – by exception
- Product / quality issues if any
- Coordination / communication within Marketing to establish the availability status of various products demanded.
- Sharing Marketing strategy with the team.
- Incorporating New Products in demand.

- Specific requirements of institutional business
